We are currently seeking a diligent and detail-oriented Compliance Coordinator to join our client's team. As the Compliance Coordinator, you will play a crucial role in ensuring statutory compliance for the portfolio and maintaining effective communication with internal and external stakeholders. This is an excellent opportunity to contribute to the smooth operation of compliance processes and deliver exceptional customer service.
The Role:
- Schedule all statutory compliance orders for the portfolio.
- Provide accurate and helpful information to internal and external stakeholders.
- Break down portfolio compliance data by commodities.
- Offer excellent and efficient customer service.
- Resolve statutory compliance matters promptly on the first attempt.
- Ensure compliance with statutory timeframes for all commodities.
- Assist with building/fire safety matters and adapt operations and processes to meet changing landscape and legal requirements with the support of the Head of Technical Services and Compliance Manager.
- Ensure full understanding and adherence to compliance processes, providing assurance of full compliance without missing any commodities.
- Lead by example to provide excellent service to our suppliers.
- Utilize existing templates and keep them up to date as necessary.

Responsibilities:
- Develop contractual relationships with specialist H&S and Fire Safety consultants.
- Support functional managers in compliance strategies and monitor compliance activities.
- Maintain and update records of external wall system issues and remediation projects.
- Assist with electronic data management and ensure timely responses to emails and calls.
- Liaise directly with the Compliance Manager as needed to progress tasks, projects, and meet deadlines.
- Raise contract orders in compliance with s.20 regulations.
- Proactively raise contract orders on an annual basis and ensure compliance with the function.
- Support the creation of information packs for the Operational Team, both on-site and off-site, to demonstrate responsibilities, including asset lists, assigned contractors, Fire Safety measures, PIB info, etc.
- Assist in ensuring compliance policies and processes align with current legislation and best practices.
- Attend external training events for professional development and deliver relevant sessions to the team.
- Report any non-compliance matters to the Compliance Manager.
- Collaborate with stakeholders to ensure high-quality data input and program management.
- Maintain accurate and up-to-date databases, including uploading relevant documents.
- Maintain some knowledge of property management principles and procedures.
- Demonstrate excellent communication skills and self-motivation for continuous improvement.
- Exhibit strong interpersonal skills to empathize and understand customer needs.
- Maintain effective record-keeping practices.
- Display problem-solving abilities and offer appropriate solutions.
- Proficient in using the QUBE computer system.
- Familiarity with windows-based applications such as Microsoft Word and Excel.
- Possess excellent written and verbal communication skills.
- Understanding of property compliance legislation and best practices.
- Support colleagues in specific areas of expertise and share best practices.
