Role Overview
This role is centered around delivering high-quality property management services in a residential environment for a mixed-use development. You'll be working closely with the Property Manager to provide excellent service to residents, commercial tenants, and visitors, aligning with the client's values and vision. The role involves managing relationships with residents and stakeholders while ensuring smooth operations within the residential phase of a major estate.
Reporting Structure
Reporting to the Head of Residential, you will collaborate with the Property Manager to act as the main point of contact for residents and ensure lease compliance for this distinct, multi-purpose development.
Key Responsibilities
Property Management
- Oversee the efficient management of residential leasehold properties, acting as a communication link between the Property Manager, contractors, and residents of the residential scheme.
- Build and maintain strong relationships with resident representatives and associations, facilitating open communication on all property-related matters.
- Support communication efforts by updating residents via newsletters and operational notices using the dedicated app.
- Assist in overseeing service contracts for the Concierge team, ensuring high standards are met and queries are handled promptly.
- Manage financial aspects such as monthly expenditure reviews, budgeting, and liaising with the finance team for accurate reconciliations and forecasts.
- Handle insurance claims, coordinating with brokers and providing monthly updates.
- Ensure all procedures and policies are up-to-date, clearly communicated, and in line with the lease requirements. Regularly review and maintain the resident portal to ensure information is current.
Resident Management
- Assist the Property Manager in handling Section 20 consultations, providing clear explanations to stakeholders and addressing queries.
- Record and respond to leasehold management queries, ensuring excellent customer service.
- Support the Property Manager during meetings, taking notes and helping communicate with resident associations and leaseholders.
- Collaborate with internal teams to ensure all key performance indicators are met and processes are streamlined.
- Facilitate communication on community events and initiatives to enhance the resident experience.
- Prepare reports and presentations in accordance with team protocols, contributing to the overall operational effectiveness.
Health & Safety
- Maintain a strong understanding of health and safety regulations, ensuring compliance across the residential development.
- Implement best practices and standard procedures for safety management and reporting.
Required Skills and Experience
- Exceptional written and verbal communication skills.
- Ability to work collaboratively and communicate effectively with various stakeholders.
- At least 2 years of experience in a junior residential property management role.
- Solid understanding of residential leases and statutory regulations.
- Discretion and professionalism in managing sensitive information.
- Progressing towards ATPI qualification.
- Strong knowledge of RICS Service Charge Codes and relevant regulations.
- Proficiency in IT and property management systems.
