Responsibilities:
- To ensure that the Porters Desk is manned on a daily basis. You are responsible to ensure that the desk is covered throughout your shift. Get to know all residents by sight so that strangers can be challenged. Manage CCTV and monitor the security of the development.
- To ensure security is maintained at the building. To take responsibility in a crisis, (e.g., fire, floor, intruders), and take appropriate action.
- Log and report any incidents of disrepair immediately to the Managing Agent, including all buildings defects, plumbing, heating and lighting defects during normal working hours. Where such defects are considered an emergency they should be reported immediately to the Managing Agent or the out of hours service.
- To monitor alarms and investigate where required following the rules in the Site Manual.
- To investigate reports of any leaks and following the rules as described in the Site Manual.
- All incidences to be logged in the Observation Book kept at the Desk.
- Study the regulations contained within the property's leases and ensure that regulations such as hanging of washing, noise restrictions etc. are adhered to.
- To maintain an effective relationship with other staff including the Client's staff.
- To ensure that communal areas, services and common supplies are secure, safe and working; by constant surveillance of all areas and equipment to prevent problems occurring.
- To be familiar with the reporting and logging procedures at the estate and to follow the procedures in the Site Manual when recording and reporting incidents/accidents.
- The Porter is the representative of the Employer. He/ She should display a courteous and helpful attitude towards the residents of the property, to their visitors, staff and contractors. The porter must never be rude even when he may consider there has been provocation. In such circumstances the incident should be reported to the Managing Agent or the managing agents in writing.
- To monitor the Observation Book which records the signing in and out of all contractors and service personnel in attendance at the estate. Deal with any breaches by contractors and report same to the Managing Agent.
- To keep secure any keys which are held in the safe. Ensure they are correctly logged in and out.
- To supervise and monitor any mail and deliveries received on behalf of residents and issue the appropriate notification slip to residents that these items are being held.
- To ensure all general telephone enquiries and messages are logged, effectively and efficiently.
- To assist the Managing Agent in maintaining records of all residents details.
- To supervise the cleaners to ensure the building's high standard are maintained.
- To assist in scheduling work and contractors visits.
- To walk the common parts on a daily basis and to prevent unauthorised use of basements, corridors and lifts and report any problems you cannot deal with to the Managing Agent.
- To ensure that the entrance and fire exits are clear of obstructions.
- To carry out routine checks of all fire precautions to ensure are in operation and that appliances are in working order. To deal with fire alerts in accordance with in house prcedures.
- Smart clothing is to be worn in accordance with estate regulations and uniform requirements. Clothing should be clean at all times and all staff should ensure their own personal hygiene is of the highest standard.
- Smoking is not permitted nor taking of alcoholic drinks or drugs when on duty.
