Role Overview

The Property Manager is primarily responsible for the delivery of management services to a portfolio of residential and, where applicable, mixed-use buildings and estates. This role will be the direct interface with the Client/Freeholder and Leaseholders within their portfolio.

The Property Manager may, in cases of a large portfolio, have an assistant property manager to work alongside them and should endeavour to develop the individual's skills for succession management.

The successful candidate will be expected to be on-site at one of our client's flagship sites in North London once per week. Additionally, the candidate will need to be based in the office once per week. The remainder of the week can be worked remotely.

Salary and Benfits

Up to £48,000 + a £3,600 car allowance. Further support will include high-rise building training after a successful 3-month probation period, which will include a pay rise of £3,000 at the start of training and a further £2,000 once completed.

Property Inspections and Maintenance

  • Conduct periodic property inspections and prepare site reports for relevant stakeholders.
  • Ensure compliance with Health & Safety Regulations; maintain and record Risk Assessments.
  • Meet with contractors to ensure contract adherence and inspect completed work.
  • Manage maintenance of common areas, external/internal decorations, plant and equipment, lighting installations, water features, and building management systems.
  • Arrange for day-to-day repairs, obtaining two quotations for works over £250 unless an emergency.
  • Instruct professionals as needed (surveyors, engineers, etc.).
  • Manage car park and refuse collection.
  • Arrange inspections and maintenance (lifting equipment, abseiling points, facades, lightning conductors, out of hours emergency repairs, plant and machinery).
  • Keep Planned Preventative Maintenance Schedules updated.

Finance

  • Ensure Management Agreements are in place for all clients and developments.
  • Prepare budgets and notes for each property; ensure completion two weeks before billing.
  • Liaise with clients/landlords to agree on the service charge budget and provide financial details for approval.
  • Assist in the preparation and review of annual accounts and audit packs.
  • Obtain approval for costs exceeding £250.
  • Respond to service charge queries from residents.
  • Coordinate with Credit Control on lessees' payment liabilities and recovery progress.
  • Work with Accounts teams on payment requests, service charge debtors, and other agreed processes.

Insurance

  • Ensure properties are fully insured, including liability cover, and premiums are paid promptly.
  • Insure Plant & Machinery against damage; ensure statutory inspections.
  • Offer Directors & Officers Insurance and Legal Expense Insurance to Residential Management Companies.
  • Handle insurance claims in collaboration with the Insurance Manager.

Meetings

  • Attend First-Tier Tribunal, County Court hearings, and regular client/landlord meetings.
  • Prepare and circulate meeting notes; action items per Management Agreement.
  • Organise and attend AGMs and EGMs for RMC clients.
  • Share meeting notes with residents' committees and leaseholders.

Correspondence & Administration

  • Communicate with clients/landlords/leaseholders and respond to queries promptly.
  • Maintain Lease Checklists and circulate meeting minutes timely.
  • Ensure timeliness of procedures using a brought forward system.
  • Inform lessees/residents about health/safety, fire regulations, parking, etc.
  • Conduct statutory consultations as required by Section 20 Landlord & Tenant Act 1985.
  • Advise on Company Law requirements with Company Secretariat Department.
  • Inform stakeholders of obligations under Lease, Housing Acts, and Landlord and Tenant Acts.
  • Guide management company directors on their authority and responsibilities.
  • Address issues with unauthorized 'Sale' or 'Letting' boards.

Breaches of the Lease

  • Address lease breaches with clients/landlords.
  • Advise residents on lease breaches and assist in enforcing lease terms.
  • Write to adjacent property owners regarding trespass or nuisance.
  • Liaise with solicitors on persistent breaches.

Contractors

  • Obtain alternative quotations for services as required.
  • Supervise contractors, including hiring and managing estate/building managers, porters, cleaners, etc.
  • Ensure client funds cover works and oversee major projects, adhering to CDM regulations.
  • Maintain an Approved Contractors' Database and verify contractors' compliance with Public Liability Insurance and Health and Safety requirements.

Property Sales (Assignment of Lease)

  • Assist Company Secretariat with queries related to property sales.

Complaints

  • Address lessees' and clients' complaints promptly.
  • Assist in resolving Stage 1 complaints and collaborate with Compliance & Complaints Resolution Manager for Stage 2.

General

  • Perform duties associated with leasehold property management per company procedures, management agreements, and legal documentation.
  • Adhere to ARMA guidelines, RICS code of practice, and FCA regulations.
  • Complete mandatory and optional training courses timely.
  • Maintain professional conduct and appearance.
  • Seek new business opportunities and develop relations for cross-selling.
  • Support team development and stay informed on new legislation and best practices.
