Position Overview
This role involves overseeing the daily management of assigned client properties and portfolios, working closely with the Senior Leadership Team to ensure smooth operations and exceptional service delivery. The position requires a strong commitment to adhering to industry standards, legislative requirements, and the company's own best practices.Key Responsibilities
Financial Oversight:
- Actively contribute to enhancing team profitability.
- Develop detailed annual expenditure budgets for each property, following service charge protocols.
- Collaborate with leaseholders on budget consultations, ensuring clear explanations are provided for their understanding.
- Review and approve correspondence regarding budgets and final accounts.
- Regularly analyse monthly and quarterly expenditure against the budget with your line manager.
- Work alongside Client Accounts to manage service charge income and expenses.
- Approve invoices, ensuring all services or works have been properly completed.
Leasehold Administration:
- Handle insurance claims, including obtaining estimates and monitoring claims processing.
- Maintain a strong understanding of lease terms and ensure compliance with head lease requirements.
- Plan, oversee, and evaluate all maintenance and repair activities, including contract management and work supervision when needed.
- Conduct routine property inspections and maintain accurate records, particularly regarding health and safety compliance.
- Utilise computerised systems to manage property data, contracts, and vendor information.
- Build and maintain effective relationships with tenants, leaseholders, and residents' associations, attending meetings as necessary.
Communication and Management:
- Supervise and manage on-site personnel and provide guidance to support staff.
- Foster positive communication with clients, leaseholders, and contractors.
- Manage relationships with key stakeholders effectively.
Health & Safety Compliance:
- Oversee daily health and safety practices, ensuring adherence to current regulations.
- Work alongside the department head to strategically plan business development efforts.
- Assist in creating proposals, responding to tenders, and preparing presentations.
Requirements
Mandatory Qualifications:
- Membership with a recognized property management organization (e.g., MTPI).
- Relevant health and safety certifications.
Preferred Qualifications:
- AssocRICS.
- IOSH accreditation.
- Valid UK driving license.
Essential Experience:
- A proven track record in UK property management, with a strong background in block management.
- Comprehensive knowledge of residential property management, including health and safety regulations, relevant laws, and industry standards.
- Experience creating service charge budgets and managing repair/maintenance projects.
- Familiarity with handling insurance claims and engaging with residents' associations, including AGM representation.
- Prior experience managing a team effectively.
