We are recruiting for a proactive and detail-oriented Maintenance Coordinator to join a well-established and reputable property management firm. Specialising in both residential and commercial portfolios, the team takes pride in delivering tailored solutions and exceptional service. The Maintenance Coordinator will be instrumental in managing and organizing maintenance activities, ensuring the smooth execution of tasks and top-tier customer satisfaction.
Key Responsibilities
- Oversee and manage the administration of maintenance activities, including preparing quotes, arranging schedules, and managing team diaries.
- Communicate effectively with property owners, tenants, contractors, and management teams to organise maintenance works and provide updates on progress.
- Ensure completed jobs meet customer satisfaction by addressing concerns and delivering timely feedback.
- Coordinate site access for maintenance works, liaising with property managers and residents to reduce disruptions.
- Assist with sourcing and procuring materials needed for maintenance tasks, ensuring timely delivery and cost-efficiency.
- Perform additional administrative tasks such as managing office supplies, mail merges, and greeting contractors at the office when required.
Requirements
- Previous experience in an administrative or coordination role, ideally within property maintenance or construction.
- Excellent organizational and time management skills, with the ability to effectively prioritize tasks.
- Strong communication and interpersonal skills to maintain positive relationships with clients and stakeholders.
- Proficiency in property management software (e.g., QUBE) and Microsoft Office applications.
- Ability to perform under pressure and adapt to shifting priorities.
- Familiarity with health and safety regulations related to property maintenance is desirable but not essential.
